This notice explains the information Virah collects through this website and the Virah Virtual Assistant on WhatsApp, why it is needed and the choices you have.

We collect only what the request needs.

By using this website or messaging our WhatsApp Business number, you agree to the collection and use described here. Fields marked as required are needed to provide the request. We do not ask for passwords, PINs, OTPs, complete payment-card information or unnecessary identity-document details through this website, email or WhatsApp.

Contact enquiries

Your name, email address, subject and message are used to respond to your enquiry and keep a record of the conversation.

Rate alerts

Your email address, alert choice, selected currency and optional target rate are used to send the rate alert you requested.

Career applications

Your application details, phone number, cover note and uploaded documents are used only to assess the role you apply for.

Optional location

If you choose “Use my location,” it is used in your browser to find nearby branches. Virah does not save those coordinates.

WhatsApp messages

When you message Virah on WhatsApp, we may receive your phone number, profile name, message, attachments, timestamps and delivery-status information.

How we use and protect it.

  • Respond to enquiries, provide the alert or process the job application you requested.
  • Answer routine WhatsApp enquiries, share relevant branch information and route a request to authorised Virah staff when it needs human attention.
  • Protect the website, prevent fraud and meet legal or regulatory obligations where they apply.
  • Limit access to authorised Virah staff and service providers who help us operate the website.

Sharing and storage

We do not sell your personal information.

We may use secure website, database, file-storage and email providers to store or send the information you give us. A WhatsApp quote draft is not saved by this website before you choose to open WhatsApp. When you use WhatsApp, Meta processes information under its own privacy policy.

We use Google Analytics to understand general website use, such as pages viewed and visitor activity. Google Analytics may use cookies or similar technology. We use this information to improve the website, not to identify you personally. You can limit cookies through your browser privacy settings.

Some service providers may process information outside Uganda. We take reasonable steps to use appropriate safeguards and handle cross-border processing in line with applicable Ugandan data-protection requirements.

WhatsApp assistance

You can always ask for a person.

The Virah Virtual Assistant may process a message to answer routine questions, retrieve non-sensitive business information and recognise when a human should help. Your telephone number may be used to maintain conversation context, but is not used for marketing without your consent.

Ask to be transferred to an authorised Virah staff member at any time.

Service providers

Providers that help deliver WhatsApp support.

Where the Virah Virtual Assistant is used, these providers may process information only as needed to deliver the service. We do not sell your personal information.

Meta / WhatsApp Business

Delivers messages between you and Virah under Meta’s own privacy and business-messaging policies.

n8n

Runs the workflow that supports the Virah Virtual Assistant.

OpenRouter and approved AI providers

Route and process message text to generate automated replies.

Supabase

Provides secure storage for customer, branch and conversation records.

Google Gmail

Delivers authorised staff notifications when an enquiry needs follow-up.

If a provider changes, this notice will be updated. Some providers may process information outside Uganda; Virah takes reasonable steps to use appropriate safeguards.

Keeping information

Only as long as needed.

  • Enquiries: normally up to 12 months after the conversation ends.
  • WhatsApp conversations: normally 12 months from your last interaction, then deleted or anonymised.
  • Rate alerts: while your alert remains active, then for a limited period needed to manage the subscription.
  • Applications: normally up to 12 months after the relevant vacancy closes, unless a longer period is required by law or you agree otherwise.

We may keep information longer where necessary for a legal obligation, a complaint, fraud prevention or a dispute.

Website enquiries are not transaction or KYC records. If you complete a regulated financial transaction at a branch, separate legal record-keeping requirements may apply.

Your choices

Ask to see, correct or stop using your information.

You can ask about the information we hold about you, request a correction or deletion, withdraw consent for a non-essential use, object to further WhatsApp contact, ask for human-only handling, or ask us to stop rate-alert marketing. We may ask for proof of identity before acting on a request.

We do not knowingly collect children’s information through this website. If you remain concerned, you may contact Uganda’s Personal Data Protection Office.

Security and confidentiality

Protected with practical safeguards.

  • Encrypted transmission through WhatsApp’s infrastructure.
  • Access-controlled storage and restricted access for authorised Virah staff.
  • Monitoring for unauthorised access, errors and system failures.
  • Technical and contractual safeguards with service providers.

No transmission or storage method is completely secure, but we take reasonable steps to protect information from unauthorised access, alteration, disclosure or destruction.

For WhatsApp data deletion, email virahsales@gmail.com with the telephone number used in the conversation. We may verify your identity and may retain limited information when required for law, fraud prevention, a complaint, dispute or legal claim.
